Understanding Accounts in NoviSign

Overview

In NoviSign, the term “account” is essential to understanding the system, as is the term “user” or “username.” Here’s a breakdown of the key concepts:

  • Username: This is the entity used to access the NoviSign Studio CMS, monitoring & reports tool, and for administrators, the Admin tool. There are different types of users, but we won’t go into detail here.
  • Account: An account is a separate entity that contains content, such as media items, creatives, playlists and screens.

A Simple Metaphor: The Room and Lockers

Imagine Sam, Joe and Ryan are three people in a room. In this room, there are several lockers:

  • One locker is labeled “Ryan’s locker.”
  • Another is labeled “Joe’s locker.”
  • A third is labeled “Sam’s locker.”
  • The fourth locker is labeled “Project X”.

In this metaphor:

  • Sam, Joe, and Ryan are users.
  • The room represents NoviSign’s system (the Studio and/or reports).
  • The first three lockers are private accounts for Sam, Joe and Ryan. Each person has a key (password) to their own locker. Every user in the system has their own private account, which is created when their user profile is set up.
  • The “Project X” locker represents a special account, created manually, which can be accessed by specific users. For example, only Sam and Joe have access to this account.

Managing Users and Accounts

Each account has one owner, known as the managing user, and only one managing user.

While there can be multiple users who have access to an account, only one can manage it. It’s even possible for a user to grant access to their own private account to another user.

NOTE: Each account has only one managing user, who is responsible for its overall management. While multiple users can access the account, the managing user holds exclusive rights to manage and make changes to it. Ensure that you assign the correct user as the managing user to avoid any access issues

Billing and Account Settings

Billing is handled at the account level, not the user level. Key details for an account include:

  • Licenses: One or more licenses can be assigned to an account.
  • Start Time and Expiration Time: These are set within the account.
  • Storage Allocation: Storage is typically based on the number of licenses and the selected plan, but can be also adjusted manually by the administrator.
  • Maximum Upload File Size: This is based on the number of licenses set for the account.
